Advantages for your companies
Regulatory Compliance & eDiscovery
MailStore Server helps companies meet a growing number of regulations on email compliance, eDiscovery, and other legislation. MailStore Server is also an important tool that helps these companies protect themselves against general legal risk or customer complaints.
Fast Search Increases Productivity
Emails are an important and very extensive knowledge resource. MailStore Server enables all users to access their email easily and extremely fast, increasing productivity within the company.
Reduce the Workload of Mail Servers
Email can be deleted from the mail server’s mailboxes according to a rule-based process once they have been archived. This allows the workload of the server to be maintained at a consistently low level. Procedures such as transferring email to PST files and mailbox quotas become redundant.
Control over PST Files
PST files are prone to error and difficult to manage. PST file archiving with MailStore Server allows you to solve this problem easily.
One-Click Restore for All Users
Users can restore email from the archive with a single mouse click. The administrator no longer has to go through the time-consuming process of recovering them from the backup.
Lower Storage Requirements
MailStore Server was designed for the secure and efficient management of very large data volumes and reduces storage requirements by means of single-instance technology and compression.
Total Protection Against Data Loss
Email can be lost due to technical errors such as corrupt PST files or deleted by users. Users often delete their entire inbox when they leave the company. MailStore Server can eliminate these risks completely.
Reduce IT Costs
Overloaded servers, increasing storage costs, and complex backup and restore processes place an enormous strain on the IT department and its budget. MailStore Server reduces these costs permanently. Furthermore, it shields against financial risks stemming from data loss or legal conflicts.
Simplify Mail Server Backup and Restore
By reducing the mail server’s data load, it can be backed up much more easily and restored faster in the event of failure. Moreover, emails are still available in the archive if the mail server is out of service.
Centralization of Distributed Emails
Emails are often distributed across various mail servers, the computers of different users, or external service providers. MailStore Server enables all email in the company to be stored in a central location and searched.
Backup and Archive Compared
While backups are designed for the purpose of disaster recovery, email archiving can help to realize completely different objectives. The IT strategy of security-minded companies shouldn’t fail to include both approaches.

Scalable Storage Technology
At the core of MailStore Server is a highly sophisticated storage technology that does not require an external database management system and is available immediately after setup is complete.
Standard Archive Store
Available immediately after setup is complete, this storage type is suitable for most environments and requirements. Standard archive stores are created by MailStore Server in the file system and do not require an external database management system or special configuration steps. In practice, this allows for MailStore Server installations that support more than a thousand archived mailboxes and the users who access them.
Advanced Archive Store
Advanced archive stores allow the use of external database management systems(Microsoft SQL Server and PostgreSQL) for data storage. This storage type is suitable for businesses with an existing IT infrastructure containing these types of systems that they would like to use for email archiving. Please note that the use of external DBMS is only an option, not a requirement. From a performance and scalability aspect, standard archive stores as described above work perfectly fine even for companies with thousands of users.
■ Suitable for any volume of data and any number of users
■ Lower storage requirements by using single instance archiving (duplicate content is only archived once) and compression of file attachments.
■ Tamper-proof through use of SHA1 hashes
■ Internal AES256 encryption of email bodies and attachments
■ Supports iSCSI, Fibre Channel, NAS, and SAN
A comprehensive technology concept ensures that companies using MailStore Server are able to achieve consistency with compliance and eDiscovery requirements, in addition to regular certification by an auditing firm using the criteria of internationally recognized standards.
■ MailStore Server enables 100% complete archiving of all emails within the company
■ Archived emails are identical to the originals in every aspect
■ Retention policies and legal hold can be enforced
■ Changes and events are logged via an integrated auditing feature in Windows event log
■ Auditor access possible via special “auditor” user type
■ Generation of SHA1 hash values from email content
■ Internal AES256 encryption of email texts and attachments
■ No direct access by MailStore client components to the archive files
■ It is not possible to change email content, either in the graphical interface or in the internal program
■ Automatic and immediate archiving of all emails as they are received and sent prevents tampering before archiving via MailStore Server
Long-Term Access to the Archive
MailStore Server is not tied to a proprietary file format. All archived emails can be exported in a single step at any time in the standard RFC822 format, which has established itself over 30 years. The exported files can be opened and edited in most email programs. In addition, MailStore Server offers much other export and restore functions.
Fast Access for All Users
When accessing the archive, users can perform a full-text search (including all file attachments) or use the regular folder structure. Emails can be recovered using ‘one-click restore’ or simply opened in order to forward the message or send a reply.
MailStore Add-in for Microsoft Outlook
MailStore users can access their archives using a convenient add-in for Microsoft Outlook XP, 2003, 2007, 2010 (32-bit and 64-bit), and 2013 (32-bit and 64-bit). Deployment via group policies is possible.
MailStore Web Access
MailStore Web Access provides access to the archive using an internet browser. This has the advantage that no additional software needs to be installed on the user machines. In addition to browsing and viewing emails, web access also offers access through the folder structure and functions for restoring emails from the archive.
MailStore Mobile Web Access
With MailStore Mobile Web Access you can access the MailStore archive regardless of your location using a smartphone or tablet (iOS, Android, Windows Phone, and BlackBerry).
MailStore IMAP Server
MailStore Server provides an integrated IMAP server, that offers you read-only access to the archive for any IMAP capable email client. Especially for alternative email clients (Mozilla Thunderbird) or operating systems (e.g. MacOS or Linux), as well as for mobile platforms such as Android, IPhone or Symbian, this is a very convenient way of accessing the archive.
