New Hangouts Chrome app

A new Hangouts Chrome app was launched today with an updated UI. The app is available for Windows and Chrome OS platforms and brings the best of Hangouts to your desktop.

Improvements include:

  • Streamlined design that keeps your chats accessible without getting in the way of everything else. Your contact list and all your chats are condensed into one easy to toggle window.
  • Works outside of your browser so your chats are always available, not tucked away inside a window. You’ll get all your messages as long as you have the app running, and your chats will sync across Hangouts on all your devices.
  • Includes all the video and voice features you’re used to in Hangouts. We recently announced you can make phone calls to any number in the world (via Hangouts dialer) and now you can do this right from your desktop.

Enterprise support and controls for the new Hangouts

Summary of Changes

  • Finding the people you need to communicate with is easier. Users can now search within the GAL right from the friend list in Hangouts and see contacts that are more relevant to them.
  • Hangouts is now supported by the Google Apps support team, just like Talk or any other core service.
  • Administrators have new controls over how chats are used within their domain:
  • Sharing: Allow users to chat outside the domain
  • Invitation Auto-Accept: Set invitations to automatically accept between users in your domain
  • Voice and Video: Allow users to make voice and video calls from Hangouts, including voice calls to phone numbers
  • History: Set conversation history to default on or off

Things to Note

  • Regardless of the setting in the admin console, users can turn history on or off for any hangout.
  • If external sharing is allowed, users will not see a warning when they begin a Hangout with users outside of their domain.

Admin controls and global address list support for Hangouts

Admins now have the ability to customize which Hangouts features are available to which employees. They choose to limit Hangouts chat messages to being internal-only, set chat history to off by default and decide whether users within the domain can contact each other without sending or accepting formal invitations first. Video and audio chat can also be turned off across the organization.

Hangouts also supports auto-complete through the global address list. You can start by typing the name of anybody in your organization and auto-complete will help you find who you’re looking for.

Hangouts can now be enabled for domains using Google Apps Vault

Customers using Google Apps Vault can now activate the new Hangouts in the Admin console. An amendment has been added in the Admin console that allows you to activate the new Hangouts on acceptance of the terms. This amendment outlines the change in Vault functionality that will exist until we complete the roll out of full compatibility. You will still have eDiscovery and legal-hold capabilities for your on-the-record/history-on chats, but the retention-purge function will not be available. To agree to the amendment, please log into the Admin console, go to Apps, click on Talk/Hangouts, go to Advanced Settings, and click “Enable Hangouts”.

How to opt in

If you’d like to opt in after reviewing all the considerations above, follow two steps so that your users can get started with Hangouts:

1. opt in in the Admin console and    2. inform your users.

To opt in to the new Hangouts for everyone or for users in specific organizational units, do the following:

  1. Sign in to the Admin console.
  2. Find the Talk settings:
    • In the classic Admin console, click Settings > Talk.
    • In the new Admin console, click Google Apps > Talk/Hangouts > Advanced settings.

  3. In the Organizations section near the top of the page, select your domain or the organizational unit for which you want to configure settings.
  4. In the Google+ Hangouts section, select Enable the new Hangouts for this organizational unit.
  5. If you have Google Apps Vault, a dialog containing the Vault-Hangouts amendment appears. Read the amendment. Click I Accept if you accept the terms.
  6. In another dialog, read all the conditions and issues related to enabling the new Hangouts. If you’d like to continue, check the I have read and acknowledged the above box. Then click Continue to enable.

How to opt out after opting in

If you change your mind and want to back out of the new Hangouts for now, do the following:

  1. Sign in to the Admin console.
  2. Find the Talk settings:
    • In the classic Admin console, click Settings > Talk.
    • In the new Admin console, click Google Apps > Settings for Talk > Advanced settings.

  3. In the Organizations section near the top of the page, select your domain or the organizational unit for which you want to opt out of the new Hangouts.
  4. In the Google+ Hangouts section, select Do not enable the new Hangouts and keep my existing settings.
